“The bigger a company grows, the more complex it becomes to switch from Excel to an ERP system. Up until then, we had worked successfully using only spreadsheets and data servers. But as we grew, it was time to switch to ERP,” recalls Torsten Seck, Director Sales & Marketing and Authorized Signatory at AQUANOVA AG.

The requirement: an ERP solution that meets the strict demands of the food industry while remaining easy to use.

Natural ingredients, sustainable action for the planet

Promoting natural ingredients while protecting the planet’s resources – AQUANOVA AG develops formulations for dietary supplements. Based in Darmstadt, the company is FSSC 22000-certified and food safety certified, and has been a key player in the nutritional supplements sector since 1995. As such, AQUANOVA operates under strict food industry regulations – including requirements for the software it uses. The decisive criterion in their ERP search: the solution had to be tailored for the food sector.

Food ERP based on Microsoft technology

Together with management, Torsten Seck began the ERP search in the most classic way: an online search focused on production and batch management. Contact was quickly established with various providers, and soon after, with a Yaveon sales representative.

Beyond the capabilities of Yaveon’s industry ERP for supplement manufacturing, the system foundation was a major factor in the decision. “The fact that it’s based on Microsoft won us over – it’s very intuitive to use. In Business Central, you can simply search via a magnifying glass input field, and the tables look very much like Excel. Plus, among Yaveon’s references we found some of our own customers and partners.”

Just 12 months after the project started, AQUANOVA was already working with Yaveon’s ERP for the food industry. “Due to internal resources, the project was mainly handled by me. There was a lot to do, since we were basically starting from scratch with all those data tables. But the Yaveon consultants were always easy to reach and available even for short-notice discussions,” summarizes Seck.

Today, the AQUANOVA team primarily uses the ERP for purchasing and sales, alongside test plans and batch tracking. Financial accounting, which was previously outsourced to an external tax firm, is now managed in-house.

The outcome: transparency, documentation, and staying on budget

Today, AQUANOVA is reaping the benefits of its industry ERP and the advantages of automated processes:

“We now have much better visibility of inventory levels, open purchase orders, and sales orders than before. Production and workflows are automatically documented – before the ERP, everything was recorded manually,” says Seck with satisfaction.

And what about the cost factor – is ERP pricing realistic? “When our offer was created, the sales representative was very clear that Yaveon typically allocates more time in the budget to ensure we stay within or even under the estimate. That provides real security, and I liked that approach very much. It was absolutely respected.”
