The result is impressive: full transparency across warehouse, purchasing and sales as well as precise documentation on time and on budget. "The larger a company becomes, the more complex it is to switch from Excel to an ERP. We had previously worked successfully exclusively with spreadsheets and data servers. At the same time, we were growing. It was time to switch to an ERP system," recalls Torsten Seck, Director Sales & Marketing and authorized signatory at AQUANOVA AG. The requirement: an ERP solution that meets the strict requirements of the food industry and is easy to use.
Promoting natural ingredients and using the planet's resources: AQUANOVA AG produces formulations for food supplements. The Darmstadt-based company is FSSC 22000 and food safety certified and has been an integral part of the food supplement industry since 1995. AQUANOVA is therefore subject to the strict requirements of the food industry - also with regard to the use of software. A clear criterion in the search for an ERP system: the solution must be suitable for the food industry.
Torsten Seck and the management team began their search for a food ERP using a traditional Internet search with a focus on the areas of production and batch management. Contact was made with various providers and after a short time, they were in contact with a sales contact from Yaveon. In addition to the possibilities offered by the industry-specific ERP for the production of food supplements, the system basis was an important reason for the decision: "Microsoft as a basis convinced us, the operation is very intuitive. Searching in Business Central, for example, is very easy using an input field with a magnifying glass, and the tables in the ERP are similar to Excel. We also found some of our customers and partners in the references."
12 months after the start of the project, AQUANOVA AG was using Yaveon ERP for the food industry. "Due to internal resources, the project mainly ran through me. There was a lot to do, after all, we came from a greenfield site with all the data tables. But the Yaveon consultants were always easy to reach and were also available for last-minute coordination," summarizes Mr. Seck. In addition to inspection plans and batch tracking, the AQUANOVA team now mainly uses purchasing and sales. Financial accounting, which was previously handled by an external tax office, is now also handled in-house.
Today, AQUANOVA is successfully using the industry-specific ERP and knows the benefits of automated process handling: "We have a much better overview of stock levels, current purchase orders and sales orders than before. In addition, production and processes are documented automatically; before the ERP, everything was recorded manually," says a delighted Torsten Seck.
Mr. Seck, how do you view the cost factor? Is the price for an ERP implementation realistic? "When our quotation was drawn up, the sales contact clearly communicated that Yaveon was setting the time contingent rather high in order to stay safely within budget or even below. That gives security, I liked it very much and it was absolutely adhered to."
